Write down the agreed essentials in one message: meeting place, start time, route character, expected finish and what people need to bring. Ask about access needs and preferences privately if that is more comfortable for the group.
Choose a route that suits the whole group, with clear options for shortening it. Avoid splitting up casually in an unfamiliar place; if separate plans are appropriate, agree on the details rather than assuming everyone will reconnect.
Leave optional extras outside the main commitment. People should be able to finish at the agreed time without apologizing for missing an unplanned extension. A manageable first outing gives the group something solid to build on, and saves the chat from becoming a negotiation every time someone suggests going outside.
